REMINDERS

There may be times when you want to remind" the Client with a phone call instead of a postcard that they should bring their pet back in. For example, if a Patient comes in for a procedure that requires a recheck in two days, a phone call would be the most expedient way to insure the Patient returns on time. Also, if you have performed a lab test and are awaiting the results, it might be useful to have a list of those Patients that were tested, so when the results are in you will have the Client's name and phone number in front of you. This list could also alert you if you have sent a lab test out and have not yet received the results. With the initial load of a system, if there is a reminder attached to a procedure that is not over 30 days past due the reminder will be created. The reminder will be associated with the Provider "ORIG". Reminders may be deleted manually.

A. To attach Reminders to certain procedures,

when adding or modifying a procedure enter a number, 1 - 9999, beside Reminder Days to indicate the number of days after a procedure is performed that a Patient (and Client) should be added to the Reminder List. (See PROCEDURES) Reminders will automatically be activated during the point-of-sale billing if a Procedure with an associated Reminder is booked.

B. To manually enter a Reminder,

press <F8> "Recalls" from the Patient Screen and <F8> "Add" from the Recall screen. Type the name of the procedure with the associated Reminder and enter the date it was performed. If the procedure has a Reminder ONLY associated with it (not a Recall) this Reminder will not appear on the screen. To view the Reminder press <F6>.

Another way to add reminders, especially for procedures that do not have reminders attached, is to press <F8> "Recalls" from the Patient Screen and <F8> "Add". Type in [REMIXX] for the procedure code.

Another window will display into which you enter the duration for this reminder. Enter the number of days that you want this patient to be on the reminder listing, then press <Enter>. Enter the date or [.]<Enter> for today, and the Provider code if desired.

A new window will display for you to make note of what the phone call is for.

C. To print the Reminder List,

from the Main menu select [6] Generate Reports, arrow right once to Clients and press <Enter>. You may make any of the choices shown below. PLEASE NOTE: selections 2 and 3 do NOT flag reminders as having been printed, if you choose either of these, you will still need to generate selection number 1. You may write it to a file and not print it if desired. You will be prompted to enter a Provider code or [*] for all. If you wish to print a list for just a certain Provider, enter that Provider's Code. Otherwise, you may just press <Enter>. You will then be prompted to select printer. We STRONGLY recommend that you choose (F] to write this report to a file then return to the Main Menu and go to Print Report on File to print it. This will enable you to reprint the report if necessary.


Daily Reminder Listing

1 Generate a listing of reminders that require action be taken TODAY!!

2 Generate a listing of all reminders that require action Up To a Date (Patient Sort)

3 Generate a listing of all reminders that require action Up To a Date (Date Sort)

The Reminder List (see page 2) includes the Owner's name, address, home and business telephone numbers; the Patient's name, species, breed, markings, name of the Procedure and the date it was performed, the Patient's Status, and the Client and Patient numbers.

If the Patient is in WIP at the time the Reminder List is printed it will be flagged on the report as (IN WIP !). Deceased pets will not appear on the Reminder listing.

If the Patient returned to the clinic FOR ANY REASON between the time the Reminder was entered and the day it was printed, the date of return is noted on the listing.

When the Reminder List is printed, all Reminders that were printed on the previous day's run will be deleted in order to free up file space.

D. To display all items in a Patient's Reminder file,

press <F8> Recalls from the Patient Screen and <F6> Reminders from the Recall Screen. All Reminders in the system for this Patient will be displayed.

E. To delete a reminder,

follow the steps in "D" above. From the Reminder screen, press <F9> "Delete". Then use the UP or DOWN arrows to highlight the reminder you want to delete. Once highlighted, press <Enter>.

NOTE: IF A REMINDER HAS BEEN GENERATED FOR A PATIENT YOU WILL SEE THE NOTATION "REMINDERS ARE PRESENT11 AT THE TOP LEFT CORNER OF THE PATIENT'S OPEN RECALL SCREEN. IF THE PATIENT HAS NO REMINDERS, THE NOTATION "NO REMINDERS PRESENT WILL DISPLAY.
